Purpose

The Information Management & Data Officer is responsible for managing project information systems, ensuring the quality, accuracy, security, and integrity of project data, and supporting evidence-based decision-making through effective information management, data analysis, and reporting. The position supports project monitoring, donor reporting, protection monitoring activities, CRM data management, and organisational learning by ensuring timely availability of reliable project information.

Key Responsibilities

Information Management

  • Develop, maintain, and manage project information management systems, databases, trackers, and reporting tools.
  • Ensure timely collection, validation, consolidation, analysis, and storage of project data in accordance with organisational standards.
  • Maintain secure electronic and physical records while ensuring data confidentiality and controlled access.
  • Support continuous improvement of project information management processes and reporting systems.
  • Maintain tracking tools to monitor progress against LAP Results Matrix indicators and implementation milestones across all project outputs.

Data Collection and Quality Assurance

  • Coordinate data collection processes across project locations and provide technical guidance to project staff on approved data collection tools and methodologies.
  • Conduct routine data quality checks, verification exercises, and validation processes to ensure completeness, consistency, and accuracy.
  • Monitor data quality and identify discrepancies requiring corrective action.
  • Support implementation of quality assurance measures for project information management.

Monitoring, Analysis and Reporting

  • Compile, analyse, and present project data to support monitoring of project progress, performance indicators, and implementation trends.
  • Develop periodic statistical summaries, dashboards, and analytical reports to support programme management and decision-making.
  • Support preparation of donor reports, project updates, and information products through timely provision of verified project data.
  • Generate reports from project databases and CRM systems as required.

Protection Monitoring and CRM Data Management

  • Support management of data generated through protection monitoring activities, including assessments, community consultations, surveys, and other approved monitoring activities.
  • Maintain project CRM records and support analysis of complaints, feedback, referrals, response trends, and service utilisation.
  • Ensure confidential management of beneficiary information and compliance with data protection requirements.
  • Support evidence generation to strengthen programme quality, accountability, and continuous improvement.
  • Maintain disaggregated records of protection monitoring activities including household surveys, FGDs, KIIs, protection risk assessments, and police station and holding centre visit findings.

Coordination and Capacity Building

  • Coordinate with project staff to ensure timely submission of quality data and supporting documentation.
  • Provide orientation and technical support to staff on information management systems, reporting tools, and data collection procedures.
  • Support standardisation of reporting formats, databases, and information management practices across the project.
  • Coordinate with Monitoring & Evaluation, Communications, Governance, and other internal units on information management requirements, where required.
  • Support Legal Team staff in maintaining accurate AGD-disaggregated case records in compliance with IOM and UNHCR data requirements.

Compliance, Safeguarding and Accountability

  • Ensure compliance with organisational information management procedures, confidentiality requirements, data protection standards, and donor reporting requirements.
  • Promote responsible handling of beneficiary information and sensitive project data.
  • Support organisational accountability through accurate reporting and effective information management.
  • Report data protection or safeguarding concerns through established organisational procedures.

 

Other Duties

  • Perform any other duties related to the position, as reasonably assigned by the Supervisor, in line with organisational policies and operational requirements.

Qualifications & Experience

  • Preferably Bachelor's degree in Information Management, Statistics, Computer Science, Information Technology, Social Sciences, Development Studies, or a related field.
  • Minimum 2-4 years of relevant experience in information management, data management, monitoring and reporting, or humanitarian information systems.
  • Experience managing project databases, CRM systems, mobile data collection platforms (e.g., KoBoToolbox), and reporting tools.
  • Proficiency in Microsoft Excel, including pivot tables, data validation, and dashboard development, is required.
  • Demonstrated experience in data analysis, quality assurance, dashboard development, and donor reporting.
  • Strong understanding of data protection, confidentiality, and information management principles.
