Job Profile 

The incumbent would be responsible for providing HR Administrative & Operational support to field offices and responsible for all HR function of Field office and coordinate with Country HR Department. 

Key Responsibilities  

Recruitment:  

  • Provide assistance in end-to-end recruitment processes, including but not limited to job postings, shortlisting, interview scheduling, background checks, & reference checks.  

  • Must ensure all mandatory pre and post recruitments documents are complete, and files are updated for audits. 

  • Any other task assigned by HR Coordinator/Officer.  

HR Operations:  

  • Complete and maintain all mandatory documentation & records for new and existing field office staff.  

  • Facilitate new hire orientation for direct and indirect field office staff and also coordinate with other departments for their orientation.  

  • Provide guidance to staff on health insurance, manage IPD/OPD claims, and update the insurance tracker. 

  • Verify, scan, and dispatch health insurance claims, maintaining a detailed log of all records on tracker. 

  • Update and maintain staff information in required formats, assist with regular updates to the HRIS. 

  • Track the completion of probationary and annual performance reviews, following up with staff for timely submissions and maintaining the performance review tracker.  

  • Support the Country Office HR team by maintaining personal file checklists. 

  • Collect, verify, scan and file monthly timesheets. 

  • Travel to other field offices if required, to ensure the smooth execution of HR operations. 

 Training & Development: 

  • Responsible for conducting mandatory induction staff trainingand ensuring policy documents and training requirements are completed, signed and filed within the specified timeline. 

  • Coordinate with program team to conduct training of indirect staff. 

  • Ensure the completion of all mandatory training within the specified timelines and maintain updated documentation. 

  • Train staff in using the company HRIS system and help them manage their leave requests and balances.  

  • Provide training and guidance to staff on filling and submitting monthly timesheets.

Person Specification 

Skills, knowledge and expertiserequired for the role.  

 Essential criteria  

  • Education:Minimumbachelor's degree in human resources/ social sciences. 

  • Experience: at least 3 years of progressively responsible work experience in NGO, INGO and USAID Aid funded projects.  

  • Knowledge: Experience using computers, the HRIS systems, Microsoft application packages, spreadsheet and other HR standard software packages. General knowledge of UN system HR policies, rules, regulations and procedures.  

  • Language: Fluency in both oral and written communication in English. 

  • Job competencies: action management, communication, client orientation, interpersonal relations, cognitive capacity, initiative.
