Job Description

Position Title: Safe Home Admin/Finance Assistant

Reports To: Safe Home Coordinator with parallel reporting to Admin/Finance/HR units at the Head Office

Duty Station: Safe Home – Islamabad

Unit: Operations

 

Summary of Key Functions:
The Safe Home Admin/Finance Assistant is responsible for supporting smooth operational management of the Safe Home through administrative, financial, procurement, HR, and logistical support. Under the direction of the Safe Home Coordinator and in close coordination with relevant Head Office departments, the role ensures compliance with Inspire and UNHCR standards while maintaining the day-to-day integrity of records, finances, and supplies.

Roles and Responsibilities:

Finance Support

• Collect vendor quotations and assist with procurement processes.
• Maintain and submit accurate financial logs, POL reports, and vehicle usage records.
• Vet DSA forms and forward financial documentation to Head Office.
• Ensure all financial files are audit-ready and policy-compliant.

Administrative Support

• Maintain attendance registers, visitor logs, and related files.
• Track and update inventory, equipment, and administrative assets.
• Facilitate logistical arrangements for meetings, events, and training.
• Monitor Safe Home utilities and stock (e.g., groceries, water, fuel).
• Supervise drivers, guards, and support staff with daily check-ins.
• Ensure proper vehicle maintenance and safety compliance.
• Coordinate with security focal points regarding safety protocols.

Human Resources and Coordination

• Act as the HR focal person for the Safe Home.
• Verify and submit accurate timesheets and leave records to Head Office.
• Supervise Office Clerk and ensure documentation flow.
• Support new staff onboarding and induction.
• Report concerns, violations, or staff grievances appropriately.

Other Duties

• Uphold confidentiality in all record handling.
• Perform any other tasks assigned by the Safe Home Coordinator or relevant Head Office departments.

Key Qualifications and Skills
• Bachelor’s degree in Business Administration, Finance, Social Sciences, or relevant field.
• 2–3 years of experience in admin/finance/logistics, preferably in humanitarian or shelter operations.
• Strong knowledge of record keeping, financial systems, and HR support functions.
• Proficient in MS Excel and financial documentation.
• Excellent organisational and communication skills.
• High level of integrity, confidentiality, and interpersonal sensitivity.
